Meeting Duties July 2009

You should make every effort to be ready to go by 5:30pm.


If for some reason you cannot carry out your rostered duties it is your responsibility to find some one who can and advise Ron Morison, phone 844 9493



SERGEANT
The primary role of the Sergeant, apart from imparting fines on the members, is to also ensure that all duties are covered, the meeting begins on time and runs smoothly.
The Sergeant (NOTE - now not the President) gets the bell and calls the meeting to order from the bar as soon as the meal is ready (normally 5:55, but make sure from the caterer first). He then asks for Grace to be said and then invites members to get their meal from the buffet.
During the meeting he rings the bell at the request of the Chair (who is normally the President), "tings" the bell at 3 minutes for the benefit of the three minute speaker, and runs the fining session when requested.



SET UP (2)
Set out: Sound system (found in the suitcase under the cover of the lectern), lectern and microphone stand.
Hang up: Four-way test, Charter and Queen/flag, Banners
Set up badge box, visitor's book and make up register.
Set up Sergeant's Bell, fine boxes and shrapnel box
Open the honours board.
After the meeting put away all of the above.
Please endeavour to be at the venue by 5.15pm at the latest.


HOSTS (2)
Welcome members and issue name tags.
Have members fill out Make Up register as appropriate.
Welcome all visitors, fill out their makeup card and have them sign the visitor's book.
Direct them to the Quayside Bookings and introduce them to other members.
Make sure visitors are not left to themselves.
Give visitor book to President just prior to meeting commencing. (Important)
Advise Club Service Director or President of any problems.


GRACE & THANKS
Say grace at the beginning of the meeting.
Propose the vote of thanks to the guest speaker and present them with a gift. See the Secretary.


INTRODUCTION (1)
Meet the guest speaker; make out a makeup or visitors card.
Introduce them to The President and other club members. Organise a drink for them (money for the drink may be obtained from the raffle proceeds).
Show the guest speaker to the top table and generally make the evening a pleasant occasion.
Sit with the guest speaker during dinner and find out some background you can use during your concise and informative introduction.
Introduce the guest speaker when asked by the President.


FIVE MINUTE SPEAKER (1)
Make a 5-minute speech on a subject about your vocation, hobby, Rotary or any other subject that will be of interest to members. Ensure you keep to time. This will be controlled.


STUDENT
You are asked to do something with the Exchange student during the week starting on the Monday your name appears. Invite him/her to the movies, get him/her involved in your hobby, are a couple of ideas.


MEETINGS
The club meets every Monday, except for public holidays, at the Quayside Restaurant., Bluewater Hotel, Ahuriri, Napier Fellowship starts at 5.3Opm. Meeting finishes at 7.3Opm.


APOLOGIES
As a Rotarian it is your responsibility to attend club meetings. Unless you are apologies exempt, members who are unable to attend must apologise to Lynne Anderson, phone 06 844-0962 before 7pm on Sunday night, or by email to apologies@ahuriri-rotary.org.nz the previous day. You are urged to make up your attendance at another club. If you fail to apologise you are recorded as a silent member and you are responsible for the cost of the meal.


EARLY LEAVERS
If for some reason you have to leave early, introduce yourself to the guest speaker during fellowship and make your apology to him/her. Inform the President that you will be leaving early


LEAVE OF ABSENCE (more than three meetings)
All applications for leave of absence must be presented to the board with specific dates. A member on leave of absence has an obligation to make up except in the case of ill health.


NEW MEMBERS
It is every Rotarians responsibility to propose new members. Someone shared Rotary with you; it is your duty to share Rotary with others. The club will pay the meal cost for the first night that you bring a potential member to a meeting


FELLOWSHIP
This is a very important part of any Rotary Club. It is up to every member to ensure that fellowship time is very rewarding for members and visitors. All members are asked to arrive early to promote acquaintance and friendship with others. Make a special effort to welcome visiting Rotarians and guests. Make them feel at home. At dinner sit with different members each week. If you are sitting with visitors keep them informed during the meeting so that they feel part of our club. Encourage them to come back again.


MOBILE PHONES and PAGERS
Please turn off (or switch to silent) your mobile phone or pager during the meeting.


PLEASE STAND when addressing guest speakers
Show your respect for our guest speakers by standing to address them.


PLEASE USE THE PORTABLE MICROPHONE when addressing the meeting or guest speakers from the floor. Some of our members have hearing difficulties and appreciate hearing comments from the floor.
